Microsoft 365 Copilot Readiness Assessment

Kapala Tech is a digital transformation consultancy and Microsoft Solutions Partner serving Brazil, the United States and Canada. Its Copilot readiness assessment prepares a Microsoft 365 tenant before rollout: finding and fixing oversharing in SharePoint and OneDrive, designing Purview sensitivity labels and auto-labeling, configuring data loss prevention, applying SharePoint Advanced Management controls and setting governance for Copilot Studio agents, so Copilot only surfaces what each user should see.

Why does Microsoft 365 Copilot need a readiness assessment?

Microsoft 365 Copilot can surface any content the signed-in user already has permission to open, so years of overshared sites, broad sharing links and unlabeled sensitive files become visible in seconds. Copilot does not create new access; it makes existing access far easier to use.

A readiness assessment finds those exposures and fixes them before rollout, so the conversation with leadership is about productivity rather than about a salary spreadsheet that appeared in someone’s Copilot answer.

What is on a Copilot readiness checklist?

A practical Copilot readiness checklist covers permissions, classification, data protection, agents and the rollout itself. This is the checklist Kapala Tech works through with each customer:

  • Licensing and pilot scope: who gets Copilot first, and how unlicensed users are kept out of pilot-only controls
  • Oversharing review: sites shared with large groups, organization-wide and “anyone” links, and inactive or ownerless sites
  • SharePoint Advanced Management: data access governance reports, site access reviews and restricted content discovery for sensitive sites
  • Sensitivity labels: a label taxonomy people understand, default labels for libraries, and auto-labeling for sensitive information
  • Data loss prevention: Purview DLP policies, including rules that stop Copilot from processing content with specific labels
  • Agent governance: who can create, publish and share Copilot Studio agents, and which connectors and data they can use
  • Adoption and monitoring: user guidance, feedback from the pilot and a plan to widen access

How does Kapala Tech run a Copilot readiness assessment?

Kapala Tech runs the assessment in phases that move from evidence to remediation, so each control is justified by what was found in your tenant rather than applied generically.

How do sensitivity labels and DLP protect data from Copilot?

Sensitivity labels tell Microsoft 365 what a file is, and DLP policies decide what may happen to it, including whether Copilot may use it. Labels can encrypt content so only authorized people can open it, and Copilot respects those restrictions for the user asking.

Kapala Tech designs a short label taxonomy that users can apply without training fatigue, sets default labels on sensitive libraries, and uses auto-labeling so classification does not depend only on people remembering to do it. DLP then adds rules on top, such as blocking Copilot from processing content labeled as highly confidential.

How do you govern Copilot Studio agents?

Agent governance decides who can build agents, where they are built, what data and connectors they can reach and who can use them. Without it, agents multiply in the default environment with no owner and access to whatever their makers could reach.

Kapala Tech sets up a Power Platform environment strategy for agents, connector data loss prevention policies, rules for publishing and sharing, and a draft agent governance policy that IT and the business can approve together.

Frequently asked questions

Does Microsoft 365 Copilot give users access to files they could not open before?

No. Copilot respects existing permissions, but it makes content people already have access to much easier to find. That is why fixing oversharing before rollout matters.

Do we need sensitivity labels before deploying Copilot?

They are strongly recommended. Labels let you encrypt sensitive content and let DLP policies stop Copilot from processing it. Without labels, permissions are your only line of defense.

What is SharePoint Advanced Management used for in Copilot readiness?

SharePoint Advanced Management provides reports on overshared sites and controls such as site access reviews and restricted content discovery, which keep selected sites out of Copilot and organization-wide search results.

Can we roll out Copilot to a pilot group first?

Yes, and Kapala Tech recommends it. A pilot lets you validate the controls and gather feedback before expanding, while making sure unlicensed users are not caught by settings meant for the pilot.

Is Kapala Tech a Microsoft partner?

Yes. Kapala Tech is a Microsoft Solutions Partner delivering Microsoft 365 Copilot readiness, Purview, Power Platform and Copilot Studio work for companies in Brazil, the United States and Canada.
